Why Most Notion Setups Fail

You've probably tried this before. You signed up for Notion, watched three YouTube videos by a productivity influencer with suspiciously good lighting, downloaded a $49 template, imported half your life into it, and then abandoned it six weeks later because it felt like homework.

The problem isn't you. The problem is that 95% of Notion tutorials teach you to build pages - pretty, aesthetic, static pages that look amazing in a screenshot and do nothing useful when you actually try to run a company on them.

The 5% that matters teaches you to build relational databases. That's the real unlock. Once your tasks know which project they belong to, and your notes know which project they belong to, and your resources know which project they belong to - the whole system starts working for you instead of against you.

This tutorial takes 30 minutes. It's 100% free plan compatible. And by the end you'll have a system that every other Notion setup you ever see will feel broken compared to.

Let's build.

The System in One Picture

You're building four databases that all point to one hub:

                    ┌─────────────┐
                    │ PROJECTS │ ← The hub
                    └──────┬──────┘
                           │
          ┌────────────────┼────────────────┐
          │ │ │
    ┌─────▼─────┐ ┌──────▼──────┐ ┌─────▼──────┐
    │ TASKS │ │ NOTES │ │ RESOURCES │
    └───────────┘ └─────────────┘ └────────────┘

Open a Project page and you'll see all its tasks, notes, and resources automatically. That's the whole point.

Step 1: Create the Projects Database (5 minutes)

Build this one first. Everything else connects to it.

Create a new page in your Notion sidebar and call it "Second Brain". Inside that page, type /database and select Database - Full page. Name it Projects.
